Who we are

The Clubhouse Golf Sims (“we”, “us”, “our”) operates a self-serve indoor golf simulator venue in Basingstoke. We are the data controller responsible for your personal data.

What data we collect

We collect only what we need to provide bookings and access to the venue:

• • Name and contact details (email address, phone number)
• • Payment data, processed securely by Adyen — we do not store full card details ourselves
• • Booking history and session details
• • Access codes (time-locked PINs) generated for your booking
• • CCTV footage recorded on the premises for safety and security

How we use your data

We process your personal data on the following lawful bases under UK GDPR:

• • Performance of a contract — to fulfil your booking, take payment, and issue the access PIN that lets you into the venue and unlocks your bay.
• • Consent — to send you marketing about offers, events and leagues, where you have opted in. You can withdraw consent at any time.
• • Legitimate interests — to operate CCTV for the safety of guests and the security of the premises, and to prevent fraud.
• • Legal obligation — to meet tax, accounting and other legal requirements.

All bookings are also subject to our terms and conditions.

How long we keep it

We retain personal data only as long as necessary. Booking and transaction records are kept for up to seven years to meet UK tax and accounting obligations. Marketing preferences are kept until you unsubscribe. CCTV footage is retained for up to 30 days unless required for an ongoing investigation, after which it is automatically overwritten.

Who we share it with

We share data only with trusted providers who help us run the venue, under contracts that protect your information:

• • Alba — our booking and operations platform, which handles scheduling, memberships, gift cards and access automation.
• • Adyen — our payment processor, which handles card, Apple Pay and Google Pay transactions.
• • UniFi Protect — the system that manages our on-site CCTV recording.

We never sell your personal data to third parties.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to its processing, and to request portability of the data you have provided.

To exercise your rights, please use our dedicated data rights page. We do not accept requests by email — all requests must be submitted via the form to ensure they are handled securely and within the required timescales.
